Job Description

Office Operations

•Monitors office inventory, filing, and assets including:
– Manages and maintains filing and storage of documents and assets
– Maintains a detailed record of technology assets
– Oversees office supply inventory and facilitates supply orders
– Managers the physical promotional item inventory and maintains usage records
– Overseas the use of company assets by third parties (i.e. tent, banners, etc.)
•Responsible for operational/facility agreements and contracts pertaining to the day-to-day operations of the organization, including but not limited to:
– Liaise with the landlord regarding building and ground maintenance
– Manages and monitors maintenance that is required but not overseen by the landlord and all associated support contractors
– Manages, monitors, and assists where possible in the repair and maintenance of IT and office equipment, including all associated support contracts
– Monitors and facilitates all corporate insurance & licensing requirements
– Monitors and facilitates all insurance & maintenance requirements on the company vehicle and trailer
– Assists in updating organizational policy manuals
•Acts as accounting support and liaison to offsite Bookkeeper. Responsibilities included but not limited to:
– Tracking AirMiles usage
– Electronic and physical bank deposits
– Completes credit card reconciliations for CEO, and assists other staff as needed
– Assists with taking payments on account receivable items
– Assists with making payments on account payable items
– Oversees petty cashoAssists with interim and year-end audits as needed
•Assists in maintaining files and databases using Dext, SharePoint, and Simpleview CRM
•Provides administrative support to CEO, including but not limited to booking meetings, filing mileage reports, streamlining external communications, etc.
•Supports the Board of Directors. Responsibilities included but are not limited to:
– Prepares reports, including meeting minutes and supporting documents as required
– Updates Board documents including the Board Policy Manual, Bylaws, etc.
– Distributes Board correspondence as needed, including facilitating meeting scheduling
•Participates in annual budget creation and oversight associated with office/facility operations
•Participates where relevant in organization planning and strategic planning processes
•Maintains organization confidentiality
•other tasks as required

Industry Relations & Events
• Assists in Partner Program support, including updating forms, assisting interest holders in
submitting applications, and Post Project Reports
• Organizes company events and workshops. Responsibilities included but are not limited to:
– Sets event and workshop calendar in collaboration with the Director of Community
Development & Engagement
– Negotiates partner agreements as required including venue rental, catering RFPs,
etc.
– Creates and maintains event budgets
– Creates and maintains DMO event registration platforms
– Works in partnership with all applicable staff to coordinate event graphics, social
media posts, speaking notes, etc.
– Coordinates day-of-event logistics
• Maintains website industry pages and industry calendar of events
• Maintains industry database in Simpleview CRM
• Supports research projects as needed
• Other tasks as required

Responsibilities & Qualifications

• Minimum 5 years administrative experience
• Able to work self-directed
• Able to multi-task, meet challenging deadlines, and complete projects with limited
supervision
• Proficient in Office 365 suite
• Have a strong grasp of technology
• Class 5 Driver’s license and access to a vehicle required
• Must live in Kamloops
• Must be able to work in-office Monday to Friday, 8:30am-4:30pm

Salary/Wage

50-60,000
